Services / Equipment included by Centre

The Centre provides a minimum level of services and/or equipment at no additional cost to our clients. The extent of these services/equipment is dependent upon the type of event and the specifications contained in the contract.
As a general guide, the following services/equipment are included in accordance with the event type unless referenced separately in the event contract. Should you require clarification, contact your Event Coordinator.

Meetings

  • Tables/chairs
  • Podium/Lectern (one per room set-up)
  • Sound patch to connect to Centre system will be accessed a fee of $70.00 per day per room.
  • Microphone (energized to the room system)
  • Stage facing drapery
  • Portable dance floor
  • Table cloths & napkins
  • Table centerpiece (type & style dependent upon availability at time of request)
  • Head table on riser
  • Coat racks in room (regular/coin-op)/outside of function room designated coat check facilities will be provided by the Centre at scheduled rates
  • Easel (one no-fee additional $12.00 per unit)
  • Banner (one included, provided it is placed by the Centre during our regular business hours 8:30 a.m. – 4:30 p.m. weekdays – additional banners may have a labour fee)
  • Room decorations -white courtyard lamps, black/white carriage lamps, floor par colored light units, plants/trees -subject to availability at time of request)Notes:
    • Special lighting requirements for head table/band or music must be arranged via sound/lighting company at client costs
    • Electrical requires for any specialized lighting/band or music will be applied by the Centre at rates for service supplied
    • Specialized table centrepieces/other room decorations are responsibility of client
    • Specialized music requiring mixing board/technician is the responsibility of client and electrical supplied will be accessed at Centre rates for the service supplied.

Banquets

  • Tables/chairs

  • Portable registration desk
  • Banner (one included, provided it is placed by the Centre during our regular business hours 8:30 a.m. – 4:30 p.m. weekdays – additional banners may have a labour fee)
  • One style set-up provided in 24-hour period, if room style setting requires change-over within this period, a labour fee will be accessed (Exception -changing room set-up from meeting to banquet setting for banquet meal function -no fee accessed)
  • Head table on riserNotes:
    • Specialized sound/additional microphones are responsibility of client
    • Flipchart & Markers are available. (See Service Order Forms – Equipment Rental Rates)
    • Specialized AV equipment requiring power/cords are responsibility of client (Electrical fees will be accessed by the Centre for power utilized)
    • Sound patch to connect to Centre system will be accessed a fee of $70.00 per day per room.
    • Telephone lines/Internet lines must be ordered from the Centre at applicable rates

Consumer/Trade Shows

  • Exhibition space within the Centre is supplied as per the contract
  • Room for show office is usually provided at no additional cost to the Client
  • Basic housekeeping services (common area waste containers and aisle cleaning only)Notes:
    • All drapery, piping, carpeting and exhibit booth materials must be contracted from a display company by the Client (includes all tables, chairs, etc.)
    • Client is responsible for all business/utility permits and must abide by the Consumer/Trade Show Regulations of the Centre
    • Dockmaster will be provided by the Centre for Ingress/Egress at the applicable rate
    • All exhibitors must request utility/communications services from the Centre unless a master account is being utilized for this purpose at applicable rates of the Centre
    • For all events on the Centre’s 3rd floor exhibition hall, any specialized lighting, hanging of items from the ceiling structure, must be conducted by IATSE employees
    • Housekeeping services for exhibitors can be coordinated via the Centre at applicable rates
    • Security for the show hall/exhibits is the responsibility of the Client and can be pre-arranged via the Centre at applicable rates
    • Ticket takers/public elevator operator/after-hour receptionist for all public shows is the responsibility of the Client utilizing Centre’s designated staff/agencies at applicable rates
    • SOCAN fees will be charged by the Centre at the applicable SOCAN rates and remitted by the Centre directly to SOCAN for any music/entertainment
    • Electrical permit as issued by the City will be obtained by the Centre and charged at the applicable rate to the Clients master account
    • Any business permits/licenses are the responsibility of the client
    • Any retail sales by the Show and/or Exhibitors will be charged a concessionaires fee by the Centre at prescribed rates (i.e. Exhibitors selling merchandise to the public) at the show will be assessed a percentage of sales)
    • For all public shows where ticket sales occur, RBC Convention Centre Ticketing will act as the box office operator.
